RepCube serves two audiences:

Business Customers (Merchants): Businesses that use RepCube to request reviews, collect private feedback, and manage their online reputation.

End Users: Members of the public who scan a QR code and interact with our routing or feedback pages.

In many cases, RepCube processes information on behalf of Business Customers (for example, when an End User submits private feedback). In those situations, the Business Customer is typically the party responsible for deciding what data to collect and why, and RepCube acts as a service provider.

2. Information We Collect

2.1 Business Account and Subscription Information

We collect the following from Business Customers:

Name and Business Name: To personalize your experience and communicate with you effectively.
Email Address: To send you important information regarding your account, orders, updates, and communication.
Phone (optional): For account support and verification purposes.
Locations and Venue Details: Including settings such as chosen review platforms.
Subscription Status: Including invoices and billing metadata.

We do not store full card details. Payments are processed by trusted third-party payment processors.

2.2 QR Scan and Usage Analytics

When End Users interact with our QR routing pages, we may collect:

Scan events (timestamp, cube ID, location ID, optional staff ID).
Redirect and click events (e.g., which review platform link was tapped).
Performance metrics (scan counts, redirects, conversion rates).
Device and network diagnostics (user agent, approximate location derived from IP such as country or region).

2.3 Private Feedback

If a Business Customer enables the Feedback-First flow, we may collect from End Users:

Feedback rating and message.
Optional contact details provided voluntarily (e.g., name, email, phone).
Context needed to deliver the feedback to the business (time, location ID, staff ID if enabled).

2.4 Non-Personal Data (Cookies and Similar Technologies)

We may use cookies and local storage for:

Login sessions, security, and app functionality.
Measuring performance and reliability.
Enhancing your browsing experience, analyzing trends, and improving our Services.

You can control cookies via your browser settings, but disabling them may affect functionality.

2.5 Communications

We may collect emails you send to us, our responses, and service emails we send to Business Customers (reports, alerts, account notices).

3. How We Use Your Information

We collect and use your information to:

Provide the Services (QR routing, dashboards, reports, feedback delivery).
Process your orders, send confirmations, and provide customer support.
Generate insights and performance reporting (weekly/monthly summaries, leaderboards).

Perform our contract with Business Customers.
Operate, secure, and improve the Services (legitimate interests).

Service Providers: Third parties that help run the Services (hosting, databases, email delivery, logging/monitoring, payment processing).
Business Customers: When End Users submit private feedback intended for that business.

Our service providers may include hosting/CDN providers, database providers, email delivery services, commerce platforms, and support tools. We may update providers over time.

6. Third-Party Review Platforms

RepCube may route End Users to third-party review platforms chosen by Business Customers (e.g., Google, TripAdvisor, Booking, Facebook). These platforms have their own terms and privacy policies. RepCube does not control third-party platforms and is not responsible for their data practices.

7. Data Retention

We retain information as long as reasonably necessary to:

Provide the Services and maintain records.
Comply with legal requirements.
Resolve disputes and enforce agreements.

Scan and redirect analytics are retained for reporting and historical performance. Feedback is retained to allow businesses to resolve issues. Business Customers can request deletion of certain data, subject to legal and operational limitations.

8. Security

We use reasonable technical and organizational safeguards designed to protect personal information. However, no system is perfectly secure, and you use the Services at your own risk.

9. Your Rights and Choices

Depending on your location, you may have rights to access, correct, delete, or object to certain processing of your personal information.

Business Customers can manage notification preferences within the dashboard. Some service emails are essential for account operation and cannot be opted out of.
